Overview

The CE team coordinator is a critical role to support the operational success of the team to deliver on mission delivery, driving revenue and brand relevance and reach.  A primary role is to directly assist the SVP, Chief Experience Officer, with added responsibilities to support the full Constituent Experience department as needed.  This includes (but is not limited to) administrative functions such as invoice processing, aligning budget codes with finance, coordinating and scheduling meetings and travel.  Duties performed require considerable confidentiality, self-initiative and dependability.

Responsibilities

  • Assist the SVP, Chief Experience Officer with all items related to calendar, meeting set up, team meeting ideas, creating Powerpoint presentations for team, maintain the CE org chart
  • Provide the CE team with assistance to achieve business goals, including managing travel, , submitting expenses, scheduling meetings, and proactively giving updates. Other special projects include staff recognition and creating a team culture of collaboration, openness, accountability and transparency. Assist new senior team members onboard and offboard collaborating with HR and IT.
  • Maintain contracts and agreements for the CE department, collaborating with Legal. Work with Excel to track invoices and manage budget coding. Work closely with the procurement department to create requisitions/purchase orders and process invoices in a timely manner.
  • Provide support for Creative Services, including managing work order process, creating templates, project intake and assigning responsible party, attend weekly meetings, monitor project deadlines for the team, and manage relationship with vendor to assist users with technical issues and upgrades. Special projects as necessary.
  • Continue to take on new projects, like, coordinate with regions for marketing and communications content, work with CE teams on select project management efforts, and monitor brand and partner email inboxes and distribute correspondence to appropriate staff.

Qualifications

Education & Experience Requirements: 

  • Bachelors degree
  • 3-6 years of experience in a fast pace marketing- communications department and/or organization that requires coordination and communication across multiple teams.

Position Requirements: 

  • Knowledge of all Microsoft Office software (particulary Powerpoint and Excel), remote meeting tools (eg Zoom and Team Meetings), strong organizational and project management skills, reliability, attention to detail, discretion and respect for confidentiality, team working ability particularly in remote and hybrid (in-office/remote) settings, pleasant and professional manner.
  • Experience with budget management, including processing invoices and contracts in coordination with finance, legal and team members. Resourceful in proactively solving problems and/or flagging issues with senior management.
  • Is enthusiastic about working for mission or cause driven organizations.
